QR codes for restaurant menus: a complete guide
The menu changes more often than the table tent. Your QR code should account for that.
The right way to put a menu behind a QR code is a dynamic code that redirects to wherever the menu lives today, not a static one with this month's menu URL written into the pattern. Menus change more than anything else a restaurant prints: prices move, dishes sell out, brunch swaps in on Saturday, the menu platform gets replaced. A dynamic code lets you repoint every table tent, window sticker and door sign at the new menu in seconds, with nothing reprinted. This guide covers the decisions in the order you meet them.
Decide what the code opens
The code is the easy part; the page it opens is what guests will judge. There are three sensible destinations, and the first table below compares them. A PDF on your own website is the quickest to set up and the easiest to update, because you upload a new file. A menu page on your site reflows to a phone screen and needs no zooming, but someone has to be able to edit the site. A hosted menu platform is built for phones and usually handles photos and specials well, at the cost of the URL belonging to the platform rather than to you.
Whichever you pick, open it on a phone, on cellular, standing in the dining room, before you print anything. A 20 MB scanned PDF that opens instantly on the office Wi-Fi takes a long time on one bar of signal at a corner table.
Make the code dynamic, and know when that matters
Some honesty first. If you control the URL and you replace the PDF at the same address, even a static code survives a price change, because the address did not move. The dynamic code earns its keep when the address changes: you move from a PDF to a proper page, you switch menu platforms, you want a different menu on weekend mornings, or the platform you were using shuts down or you stop paying for it. Each of those turns a static code on a printed tent into a dead end, and turns a dynamic one into a thirty-second edit.
The other thing a dynamic code gives you is a count. Every scan passes through the redirect and is recorded, so you can see how many guests actually open the menu, and at what hour. That is the difference between guessing whether the table tents earn their place and knowing.
Use one code per surface
Print a separate code for the table tents, the window, the door or host stand, and the bar, all pointing at the same menu. They cost nothing extra and they split the scan counts by placement, so in a month you know whether the window code brings anyone in off the street or whether the tents do all the work. If you later want the window to open a reservations page instead of the menu, you repoint that one code and leave the rest alone.
Size it for the surface
The rule is 10:1: one unit of code width for every ten units of reading distance. A tent is read from about 30 cm, so a 3 cm code is comfortable. A door sign read from a metre wants 10 cm. A window read from the pavement wants 20 cm. The second table gives the common placements. Change the menu without touching the tents
Raised prices? Update the menu and, if its address changed, point the code at the new one. Running brunch on weekends? Point the code at the brunch menu on Saturday morning and back at the dinner menu on Monday. Seasonal menu? Same edit, four times a year. Keep a paper menu on hand
Some guests will not scan, some cannot, and some are on a phone with no signal. Keep a few printed menus behind the host stand and say so on the tent: "Scan for the menu, or ask for a printed one." If your dining room has weak signal, put a Wi-Fi QR code next to the menu code so guests can join the network first. And remember the dynamic code's own failure mode: if the page behind it is down, the tent is a dead end, so the paper menu is your backup for that too.
Read the numbers
After a few weeks the scan report answers questions you would otherwise argue about. Scans by hour show which service the tents matter for. Totals per placement show whether the window code earns its spot. A sudden drop to zero on one code means that tent has gone missing or the page behind it broke, which is worth knowing the same day rather than at the end of the month. - Do guests need an app to scan a menu QR code?

No. The camera app on an iPhone has read QR codes since iOS 11, and most Android phones from the last several years read them from the camera or through Google Lens. A guest points the camera at the tent and taps the link that appears. Nothing to install.
- Should the code open a PDF or a web page?

A web page reads better on a phone because it reflows to the screen, so start there if you can edit your site. A PDF is fine if it is exported from a text document rather than scanned, kept small, and laid out in one column so nobody has to zoom sideways. Either way, open it on a phone on cellular in the dining room before you print.
- Can I change the menu without reprinting the table tents?

Yes, if the code is dynamic. Change the destination in your dashboard and every tent opens the new menu on its next scan. If you printed a static code, you can still replace the file at the same address, but any change to the address itself means a reprint.
- What happens if my menu platform shuts down or I stop paying for it?
